Responsibilities
• Process daily customer and outbound material orders while executing real-time order tracking across multiple carrier sites.
• Maintain accurate, up-to-date entries in internal database systems and supply chain management platforms.
• Generate detailed report summaries for carrier Key Performance Indicators (KPIs) to monitor vendor service standards.
• Enter material scheduling inputs for raw material inbound shipments (e.g., tar) and outbound product distributions.
• Facilitate customs documentation and compliance procedures for inbound raw materials and outbound US orders.
• Provide dedicated rail logistics support, including order entry, tracking, status reporting, and database synchronization.
• Conduct regular logistics service follow-ups to resolve carrier delays, tracking discrepancies, or delivery issues promptly.
• Serve as crucial vacation coverage and backup support for both truck dispatch and rail dispatch operations.
• Collaborate with cross-functional warehouse and plant operations teams to ensure seamless dispatch workflows within manufacturing & logistics.
Qualifications
• Prior administrative or coordination experience; prior experience in logistics is preferred.
• Experience with rail logistics or sea logistics operations is considered a strong and valuable asset.
• High school diploma or equivalent; formal education in logistics, supply chain management, or business administration is an asset.
• Proven ability to navigate carrier web portals, tracking tools, and central database management systems.
• Strong organizational skills with high attention to detail in data entry and supply chain record-keeping.
• Exceptional problem-solving capabilities to handle shipment delays, tracking anomalies, and carrier follow-ups.
• Clear written and verbal communication skills for cross-departmental coordination and vendor management.
• Proficient computer literacy, including intermediate to advanced Microsoft Excel skills and experience with database tools.
