Responsibilities
Executive Support & Coordination
Provide senior-level administrative support to the Executive Office Manager, Deputy Chairwoman, and Vice President.
Manage complex, multi-leg international and domestic travel arrangements (flights, hotels, car services).
Coordinate and organize high-priority meetings, including facility booking, catering, document preparation, and equipment setup.
Exercise high discretion when handling sensitive and confidential information.
Operational Administration
Prepare and maintain accurate documentation, including presentations, mailing lists, invoices, charts, and correspondence.
Manage calendars and prioritize workflows to meet shifting deadlines.
Process expense reports, manage incoming inquiries, and redirect requests to appropriate departments as needed.
Provide coverage for reception duties during breaks, including greeting couriers and visitors.
Team Collaboration
Function as an integral member of a small, 4-person team.
Identify and recommend process improvements within the administrative function.
Contribute to a positive, professional office culture through clear communication and flexibility.
Qualifications
Experience: 1–2 years of experience in an administrative support role, ideally supporting senior or C-suite executives.
Education: Background in Office Administration or a related field is highly preferred.
Technical Skills: Proficiency in MS Office Suite (Word, PowerPoint, Excel, OneNote, Planner) and experience with procurement/expense tools (e.g., COUPA).
Event Planning: Proven experience in event coordination and meeting planning.
Communication: Exceptional written and verbal communication skills; ability to interact professionally with diverse internal and external stakeholders.
Soft Skills: Strong sense of urgency, ability to work independently, and a high level of organizational skill.
