Responsibilities
What will you be responsible for:
-Calendar and Meeting Management: Manage complex calendars, schedule meetings, and proactively prepare executives by having necessary documents, drawings, contracts, and other materials ready in advance. This includes preparing for in-office meetings with set-up and food.
-Administrative Support: Act as the executives' representative, responding to emails and managing meeting invitations. Draft and prepare slides, meeting notes, and other critical documents. Properly store and organize both physical and electronic information.
-Property Management & Construction Coordination: Manage day-to-day tasks related to both construction and property management. This includes following up with tenants on outstanding repairs, preparing financial documents like rent rolls for appraisals, and handling tasks related to prospective tenants such as credit checks, lease preparation, and document signing.
-Task Management & Follow-Up: Maintain and manage a comprehensive to-do list for both executives. Write follow-up emails and ensure that tasks are completed in a timely manner.
Bonus Responsibilities: The ideal candidate will have the ability to review and draft contracts or scopes of work documents.
Qualifications
What you bring to the table:
-Minimum 5 years of experience as an Executive Assistant.
-Proficiency in Microsoft Office suite (experience with Yardi, ProCore, and Sage Contractor is a plus)
-Proven experience in managing multiple priorities, to-do lists, administrative coordination, and logistical tasks.
-Strong written and verbal communication skills.
-A well-organized, detail-oriented, and proactive approach with exceptional follow-up skills.
-Experience in the real estate or construction industry is a plus.
