Working closely with project managers, clinical leads, and transformation teams, the Governance Coordinators will help manage governance meetings, maintain Terms of Reference, track decisions and risks in JIRA, and prepare key governance reports. Ideal candidates bring post-secondary education in health or related fields, at least two years of experience supporting governance within clinical information or digital health initiatives, and strong organizational and communication skills in both English and French. Responsibilities
•Supporting the implementation and maintenance of the CIS governance framework across all committees and working groups.
•Drafting, updating, and organizing governance documentation, including Terms of Reference (ToRs), Standard Operating Procedures (SOPs), and membership lists.
•Coordinating governance meetings by managing scheduling, agendas, materials distribution, and meeting minutes.
•Tracking and maintaining decision, action, and risk logs using JIRA and other collaboration platforms.
•Assisting in the preparation and delivery of monthly, quarterly, and ad-hoc governance reports.
•Ensuring documentation consistency and proper storage across shared drives, Confluence, and other systems.
•Supporting governance process adherence and quality control across all CIS program workstreams.
•Coordinating updates to governance group membership, distribution lists, and Terms of Reference.
•Monitoring progress on assigned action items and following up with responsible stakeholders.
•Collaborating with clinical, project, and informatics leadership to ensure alignment and communication between governance bodies.
•Assisting with onboarding and offboarding of governance participants, including access management for tools such as JIRA and Confluence.
•Supporting process improvement by gathering stakeholder feedback and suggesting enhancements to governance coordination practices.
Qualifications
•Post-secondary education in a health-related field (e.g., Health Sciences, Health Informatics, Public Health) or equivalent training with relevant experience in clinical information system (CIS) or digital health projects.
•Minimum 2 years supporting governance documentation within a CIS program or similar digital health initiative, including drafting ToRs, SOPs, meeting minutes, and governance reports.
•Minimum 2 years coordinating governance meetings, managing multiple stakeholder groups, and supporting complex workstreams.
•Experience in project governance or coordination roles in large or complex organizations.
•Demonstrated ability to support governance structures such as steering committees, working groups, or clinical advisory groups.
•Proficiency with Microsoft Office 365 (Excel, Word, PowerPoint, Visio, Outlook, Teams), Zoom, and Atlassian’s JIRA for tracking actions, decisions, and access requests.
•Hands-on experience with Confluence or other document management platforms.
•Strong attention to detail, organizational skills, and timeliness in documentation.
•Ability to communicate and lead engagement in both English and French (written and verbal).
•Formal training in project management methodologies (e.g., Prosci, APMP, Lean Six Sigma) or equivalent process improvement experience.
•Experience contributing to clinical or health service transformation projects is an asset.
