Are you an experienced HR professional who thrives on process improvement and data integrity? Do you want to support a company dedicated to service management for non-profit organizations? We are seeking a dedicated HR Specialist to optimize our HR operations and systems.
...
This is a contract, full-time hours position, offering stability and consistency in your work schedule. This initial contract is expected to run until the end of March 2025, with a clear possibility of becoming permanent based on performance and business needs. This position is hybrid working model, with the exception of going into the office once a week in Downtown Toronto.
Advantages
Flexibility with location - hybrid working model
Opportunity working with both Canadian and US markets
Strong opportunity for permanent full time
Responsibilities
The top priorities for the HR Specialist coming into this role are focused on system alignment and data integrity:
Process Streamlining & System Bridge: Identify, streamline, and problem-solve all gaps between the US parent company's HR processes and our Canadian internal operational needs.
Act as the critical bridge between US and Canadian HR systems and processes. For example, if a US hire process is set up differently, you will be the intermediary to get the candidate set up in both systems.
Manually figure out what happened in the US system and enter it in our Canadian HRIS (e.g., UKG), helping to implement solutions to streamline this duplication process.
Data Integrity & Reporting:
Ensure data integrity through meticulous double-checking and verification, particularly with employee forms, contracts, and confidential records.
Handle requests for data and analytics from the America side (e.g., pulling employment contracts, generating analytical reports). You must be proficient in systems like BambooHR to generate reports and know where critical data needs to be housed.
HR Administration & Policy Alignment:
Assist the small, dedicated Operations team with high-volume administrative day-to-day tasks.
Support the transition between platforms and assist in implementing new policies and procedures to align the Canadian entity with the parent company's standards.
Manage critical HR steps (e.g., reviewing contracts, processing terminations, communicating changes to payroll) to ensure all pieces are connected and go through the right channels.
Qualifications
2-4 years of progressive experience in a Human Resources role, ideally involving system transitions, process mapping, or policy alignment.
Strong understanding of Employment Standards Law and policies and proven ability to implement them in everyday work.
Exceptional skills in data management, attention to detail, and problem-solving.
Experience working with HRIS platforms (e.g., BambooHR, UKG) and generating accurate reports/analytics.
Must be tech-savvy and self-sufficient, capable of navigating new systems and managing tasks independently in a remote environment.
Someone who thrives in a role where they can bridge operational gaps and ensure compliance.
Summary
If you are a tech-savvy, self-sufficient HR professional with 2-4 years of experience who thrives on process improvement and data accuracy, this role is a great fit for you!
