As an Invoicing and Filing Administrator, you will play a central role in driving daily order accuracy, auditing inventory documentation, and managing comprehensive administrative workflows within manufacturing & logistics. Operating out of our Burnaby facility, you will work closely with warehouse associates and cross-functional teams to double-check product counts, inspect overstock locations, and verify best-before dates to maintain rigorous quality control standards prior to final invoicing. Your proactive approach to resolving sales order discrepancies ensures seamless distribution operations across all channels.

Responsibilities
• Audit returned picklists against actual inventory quantities to guarantee total accuracy in manufacturing & logistics order processing.
• Perform detailed quality control checks on all organic food items, verifying best-before dates to satisfy strict store guarantee requirements.
• Inspect and cross-reference pallet, box, and individual piece counts against active sales orders prior to billing.
• Walk directly into the tri-temp warehouse environment to inspect overstock storage, audit physical inventory, and resolve sales order discrepancies with warehouse team members.
• Generate, verify, and process high-volume sales invoices accurately using enterprise administrative systems and Microsoft Excel.
• Maintain organized, secure physical and digital filing systems for all billing records, shipping manifests, and administrative documentation.
• Collaborate cross-collaboratively with customer service, sales, and warehouse operations to streamline workflow efficiency.
• Multi-task effectively and manage tight time frames within a fast-paced manufacturing & logistics distribution environment.
Qualifications
• Excellent verbal and written English communication skills for clear inter-departmental collaboration.
• Exceptional attention to detail, strong organizational abilities, and effective time management skills.
• Strong interpersonal skills with a proven ability to work both autonomously and cross-collaboratively within manufacturing & logistics.
• Demonstrated analytical and problem-solving skills to identify and resolve inventory discrepancies efficiently.
• Complete availability to work on-site in Burnaby, BC (Monday to Thursday, 10:00 AM – 6:00 PM shift schedule).
• Full comfort and capability going into a tri-temp warehouse environment to perform physical stock audits and discrepancy resolutions.
• Physical capability to safely lift up to 40 lbs when reviewing product inventory in the warehouse.
• High proficiency in Microsoft Office Suites, with advanced practical knowledge of MS Excel.
• Prior experience in an invoicing, filing, administrative support, or logistics order-processing role is preferred.
• Knowledge of SAP or similar enterprise resource planning (ERP) software is considered a strong asset.
