Responsibilities
• Client Management: Act as the first point of contact for all clients and visitors, both in person and on the phone, ensuring they feel welcomed and valued. You will be a calm and reassuring presence, especially in urgent situations.
• Scheduling and Communication: Skillfully manage a complex calendar, schedule appointments, and coordinate with our lawyers and consultants. You'll handle inquiries and communicate detailed information about our services and booking processes.
• Administrative Support: Manage client intake forms, process payments, and send detailed confirmation emails. You'll also provide essential administrative support, including filing, scanning, and data entry, ensuring all client information is handled with the utmost confidentiality.
• Office Coordination: Maintain a clean and organized reception and conference area, manage office supplies, and handle incoming and outgoing mail and courier services.
• Team Support: Anticipate the needs of the team and proactively offer support, whether it's helping with a task, tidying up, and supporting as needed
Qualifications
What we are looking for:
• A confident and articulate professional who can "sell" our services by clearly and patiently explaining the next steps to potential clients.
• Someone with impeccable organizational skills and a meticulous eye for detail, especially when scheduling and handling client information.
• An individual who is patient and calm under pressure, able to manage a high volume of calls and guide clients through our processes without being a "wall."
• A proactive team player who is willing to take initiative and go above and beyond to support the entire team.
• A punctual and reliable individual who is eager to grow with our firm.
