The Mail Clerk is responsible for the successful delivery of document filing and digitization processes within a dynamic branch environment. You will serve as an expert in navigating physical and digital documents, ensuring that all records are accurately processed, scanned, and secured. This role requires a blend of physical document handling and basic digital proficiency to ensure the integrity of the branch’s record-keeping system.

Responsibilities
Digitization & Scanning: Prepare paper documents for digitization and operate hardware (Ricoh photocopiers/scanners) to upload files into the system.
Quality Assurance: Review digitally filed documents to confirm accuracy and ensure they meet all specific business requirements.
File Management: Organize and manage physical files within the branch, ensuring they are secured in designated locations.
Reporting: Provide daily and weekly status updates to management teams via email or phone regarding progress and milestones.
Compliance & Safety: Adhere to all corporate Privacy Policies, Employee Conduct Rules, and Health and Safety regulations.
Adaptability: Remain flexible to support various initiatives as business priorities shift, ensuring early identification of any emerging risks or issues.
Qualifications
Experience: 2+ years of professional experience in an office, administrative, or document management role.
Education: High School Diploma or equivalent.
Technical Skills: Proficiency in MS Office (Outlook, Teams, Excel) and comfort operating office hardware (photocopiers/scanners).
Soft Skills: Highly developed organizational skills, the ability to work independently with minimal supervision, and strong communication skills.
Asset: Previous experience in document filing or records management is considered a strong asset.
