Job Description: Mail Clerk
The Document Storage Analyst is accountable for the successful delivery of document management processes in a dynamic environment. You will be responsible for preparing, digitizing, and securely filing paper documents. You should be organized and an expert at navigating documents, comfortable operating hardware such as photocopiers/scanners, and possess basic computer skills to manage digital documents. Working closely with the business owner(s), you will execute processes for accurate and efficient document storage independently.

Consistent Monday to Friday schedule (9:30 AM – 5:30 PM) with no overtime or weekends required.
One week of onsite training provided to ensure a smooth start.
Responsibilities
Report to the assigned Retail Branch locations to support document filing and digitization processes.
Prepare paper documents filed in the branch for digitization.
Scan paper documents using the Ricoh copier/scanner.
Review digitally filed documents to confirm accuracy and ensure they meet all business requirements.
Manage files in the branch and ensure they are secured in their designated locations.
Provide daily and weekly updates to the management teams via email and/or phone.
Adhere to all Health and Safety rules of the working location, including mandatory face mask usage in any open areas of the branch.
Adhere to all Privacy Policies and Employee Conduct Rules.
Adapt and remain flexible to support a broad spectrum of initiatives in an environment where business priorities may frequently shift.
Ensure timely communication of issues/points of interest and status, including the early identification of emerging risks.
Qualifications
Must Have
2+ years of professional experience in an administrative or document-focused role.
Highly developed organization skills and attention to detail.
Demonstrated ability to work independently and manage a high volume of tasks.
Good communication skills, both written and verbal, for providing updates to management.
Comfortable operating a photocopier/scanner.
Proficiency in MS Office suite (Outlook, Teams, Excel).
High school diploma or equivalent.
Nice to Have
Document filing experience skills is an asset.
