As a Document Storage Analyst, you will be accountable for the accurate and efficient execution of document filing and digitization processes in a dynamic environment. You are a professional with a keen eye for detail and are comfortable working independently. You will utilize hardware such as photocopiers and scanners and have basic computer skills to manage the retrieval and storage of physical and digital documents.
Position Title: CAN - Mail Clerk I
Contract Duration: October 14, 2025, to February 27, 2026 (Approximately 137 days)
Work Schedule: Monday - Friday, 9:30 AM - 5:30 PM (No overtime or weekends required)
Work Location: Onsite at two branch locations in Woodstock, ON (417 Norwich Ave & 539 Dundas Street). The role requires travel between these two locations.

Responsibilities
Document Preparation and Digitization: Report to the assigned Retail Branches to prepare paper documents for digitization and scan them using a Ricoh copier/scanner.
Quality Assurance: Review digitally filed documents to confirm accuracy, completeness, and adherence to all business requirements.
File Management: Manage files within the branch, ensuring they are accurately secured and stored in their designated physical and digital locations.
Communication: Provide daily and weekly updates on status, issues, and points of interest to management teams via email or phone.
Compliance & Safety: Adhere to all Health and Safety rules (including mandatory face mask usage in open branch areas), Privacy Policies, and Employee Conduct Rules.
Adaptability: Remain flexible and adaptable to support a broad spectrum of initiatives in an environment where business priorities may frequently shift.
Qualifications
Must-Have Requirements
Experience: 2+ years of professional experience, ideally in a role requiring organizational or administrative skills.
Organizational Skills: Highly developed organization skills with a proven ability to manage physical and digital files efficiently.
Independent Work: Demonstrated ability to work independently and manage one's own workload across multiple locations.
Technical Comfort: Comfortable operating a photocopier/scanner and proficient in MS Office applications (Outlook, Teams, Excel).
Communication: Good verbal and written communication skills for daily reporting and updates.
Education: High school diploma or equivalent.
Nice-to-Have Skills
Prior document filing or records management experience is an asset.
