Responsibilities
• Ensure the reception area is opened and closed in a timely manner, maintaining a professional image.
• Answer software-based telephones professionally and transfer callers to the appropriate business unit or colleague.
• Greet and welcome clients and guests in a friendly and inviting manner.
• Manage the organization and distribution of incoming and outgoing mail.
• Scan financial documents and tax returns to embed them into electronic files (high volume).
• Print financial statements, tax returns, internal forms, manuals, and reports.
• Assist with catering organization, meeting room preparation, and clean-up for meetings and office events.
• Maintain the cleanliness of kitchens, common areas, and office spaces throughout the workday.
• Assist the Manager of Administrative Services with ad hoc duties, including new colleague space set-up and supply inventory management.
Qualifications
• Proficiency with Microsoft Office Suite and general computer literacy.
• Strong organizational skills with the ability to manage high-volume document processing (scanning/printing).
• Excellent verbal communication skills and a professional telephone manner. • Ability to multitask and prioritize requests in a deadline-driven environment.
• adaptability to learn new software and internal filing systems quickly.
A proactive attitude towards general office maintenance and support tasks.
• Availability to work from January 12th through May 1st (dates are approximate).
• Flexibility to work overtime during peak tax filing deadlines as needed.
• Previous experience in reception, office administration, or customer service is preferred.
• Ability to work fully onsite at the designated office location (Vancouver, Surrey, or Terrace).
• Professional business casual presentation.
