This is not a junior position; it is a critical, high-autonomy role designed for a professional who is used to wearing many hats in a smaller, fast-paced environment. You will be the right hand to the CEO, the central point of contact for all human resources matters, and the operational backbone of the company.
As the Office & HR Manager, you will be responsible for two major domains: leading the human resources function and managing all office operations. On the human resources side, you will be the primary decision-maker. While an external HR company is available for consultation, you will be the one "thinking HR," handling employee processes, and guiding the company's internal policies.
Operationally, you will own everything from vendor management and facilities oversight to complex purchasing, inventory, and strategic pricing analysis with the CEO. Your day could range from managing scanner sales quotes and processing orders to writing and submitting detailed Government of Canada RFPs. We need a mature, logical thinker with an exceptional eye for detail who can independently troubleshoot any organizational need. While medical device experience is not required and can be easily trained, your ability to meticulously follow SOPs for regulatory logs and forms is essential.

Act as the primary human resources leader, guiding decision-making on employee matters and serving as the main point of contact for all HR-related processes.
Liaise with the external HR consulting firm, acting as the internal decision-maker for policy implementation and employee relations.
Manage the full employee lifecycle, including onboarding, offboarding, performance reviews, and benefits administration.
Ensure seamless daily operations through dynamic, cross-functional support and proactive administrative coordination.
Oversee all vendor relationships for key office services, including security, telecommunications, beverage delivery, and waste disposal, proactively sourcing cost-effective solutions.
Manage the complete purchasing lifecycle: monitoring inventory, determining supply needs, coordinating with suppliers, and tracking deliveries to ensure efficiency.
Work closely with the CEO to analyze cost structures and determine strategic pricing for customers, distributors, and special projects.
Serve as the primary contact for scanner sales, which includes providing quotes, answering inquiries, and offering product recommendations.
Process daily cheque scanner orders, ensuring that service level agreements (SLAs) are consistently met.
Provide large-scale, detailed quotes to salespeople for their customers, ensuring quotes are competitive and profit margins are at the required level.
Write and submit detailed, high-quality responses to Government of Canada RFPs for specialized multi-media shredding equipment.
Maintain strong corporate client relationships, leading initial communications and contributing to executive meetings alongside the CEO.
Complete accurate monthly and quarterly customer reports.
Act as the go-to troubleshooter for all organizational needs, demonstrating resourcefulness and independence.

Proven ability to "think HR" with strong, independent decision-making skills in human resources matters.
Exceptional resourcefulness: the ability to find answers independently and exhaust all steps before escalating an issue.
A mature, logical way of thinking things through, with strong problem-solving capabilities.
Critical and meticulous attention to detail (this is a must-have).
Demonstrated independence and the ability to work autonomously, managing a wide variety of tasks with minimal supervision.
The ability to think on your feet and adapt quickly to changing priorities in a fast-paced environment.
Excellent communication and interpersonal skills, with the confidence to liaise with the CEO, clients, and vendors.
Strong experience in vendor management, purchasing, and inventory control.
Experience with sales support, creating complex quotes, and pricing analysis is a significant asset.
High technical proficiency with MS Office Suite and experience with ERP systems.
