We are seeking detail-oriented, energetic, and highly collaborative individuals to join the Operations team as Officers, Electronic Registration. This is a back-end, production-focused role where you will prepare, review, and register real estate documents (mortgages, discharges, etc.) for different provinces—with a specific focus on British Columbia (BC) and Ontario (ON) portfolios.
This role is highly autonomous and requires comfort with repetitive, high-volume tasks that demand sharp investigative skills. You will work closely with a supportive, close-knit, and outgoing team while managing strict turnaround times.
Industry: Real Estate Legal & Financial Services / Title Insurance
Location: Oakville, Ontario - 3 days in office (Tuesdays and Thursdays are mandatory in-office days, with the third day being your choice.)
Hours: Full-time, 37.5 hours per week (Flexible start times between 8:00 AM – 5:00 PM)
Compensation: $38,000 - $46,000 (Negotiable based on experience) + 5% Annual Incentive Plan (AIP)
Time Off: 15 days vacation + 10 personal days

- Investigation & Risk Review: Utilize strong investigative skills to identify errors, discrepancies, or potential risks in land titles documentation before submitting.
- Data & System Management: Utilize workforce tools (ActiveOps) and advanced Excel functions to tracking, logging, and actioning pipeline reports.
- Team Collaboration: Actively participate in a highly communicative team environment, balancing independent task execution with collective team goals.
- Exception Handling: Review rejected documents and coordinate with internal partners via email (or occasional phone calls for rejections) to rectify issues swiftly.
Qualifications
- Education & Background: Law Clerk or Legal Administration designation, or equivalent experience in real estate law or title insurance (backgrounds with FNF Canada or Terranet are highly valued).
- System Expertise: * Familiarity with LTSA (Land Title and Survey Authority of BC) is highly beneficial.
- Experience with Teraview (Ontario land registration) is an asset.
- Strong proficiency with the Microsoft Office Suite, specifically advanced Excel skills.
- Exposure to operational tools like ActiveOps is a plus.
- Exceptional attention to detail and sharp investigative/analytical skills.
- Comfort with high-volume, repetitive data processing and document review.
- Strong organizational skills to manage competing priorities in a fast-paced, deadline-driven pipeline.
