Responsibilities
Responsibilities for the Operations Administrator are as follows:
- Serving as the primary office gatekeeper by managing communications, greeting visitors, and overseeing facility resource logistics
- Handling daily tracking of payables and receivables, generating customer bills, processing supplier invoices, and diligently monitoring collections
- Assisting with data input, reconciliation, and preparing finance summaries when needed
- Maintaining and updating customer records, prospective sales leads, and business contacts within the CRM system
- Tracking the lifecycle of agreements, generating client financial documents, and serving as the primary contact for customer billing inquiries
- Providing hands-on support for the rollout of marketing campaigns across various channels (digital, social, email)
- Assisting with website content updates, social media scheduling, event logistics (trade shows/launches), and organizing internal staff engagement activities
- Filing and organizing all corporate documentation, including records related to equipment protection plans and supplier agreements
- Collaborating with leadership on workflow refinement and reporting
- Ensuring all processes adhere to operational and compliance standards
Qualifications
- Minimum 3-5 years of experience supporting organizational administration, operational systems, or executive teams
- Post-secondary credentials in Business, Marketing, or Administration is preferred
- Proven operational proficiency with a CRM platform such as Salesforce or a similar CRM platforms is ideal
- Comfortable utilizing creative/digital marketing applications (e.g., CANVA, Mailchimp) and social media platforms is an asset
- Possesses a practical understanding of financial processes, specifically related to billing cycles, payment processing, and internal reporting
- Must be highly proactive, exceptionally organized, and possess a strong capability to prioritize and execute across multiple concurrent tasks
- Excellent organizational and communication skills
- A valid provincial driver’s license is required for the role
