Responsibilities
• Receive, process, and enter customer orders accurately and efficiently into the tracking system.
• Verify and double-check all incoming orders for completeness, pricing accuracy, correct quantities, and delivery details.
• Communicate product information, stock availability, flyers, and product specifications clearly to clients.
• Respond professionally to all customer inquiries via walk-ins, order pickups, phone calls, emails, and faxes.
• Process customer credits, maintain active service contracts, and prepare official documentation as required.
• Record customer complaints accurately using designated forms or escalate urgent matters to Plant Management.
• Prepare and manage daily shipping paperwork and documentation for company trucks and third-party carriers.
• Coordinate complex shipping schedules and confirm carrier pickups to ensure timely delivery.
• Maintain carrier run lists and verify that all outbound products have been successfully collected by logistics partners.
• Record and report product pieces and kilos for afternoon shipping schedules to warehouse teams and carriers.
• Manage the return of maintenance parts and coordinate outbound specialty shipments as needed.
• Provide the temperature-controlled cooler to the courier at the strictly designated time of 2:00 PM daily.
• File, scan, laminate, photocopy, and systematically maintain daily documentation for multi-site warehouse operations.
• Close and verify pick tickets accurately for designated inventory and warehouse locations.
• Manage executive boardroom bookings and handle incoming and outgoing corporate mail and packages.
• Upload critical documentation and maintain organized electronic and physical filing systems.
• Provide essential front-office and reception coverage during team lunch and coffee breaks.
• Work efficiently and collaboratively across all corporate departments to support integrated daily operations.
Qualifications
• Previous experience working within an order desk, customer service, or administrative office environment.
• Proven experience managing high-volume data entry, order processing, reception, or invoicing tasks.
• Ability to maintain strict adherence to office safety standards and industry compliance regulations.
• Comfort collaborating across multiple operational teams, including warehouse operations and freight carriers.
• Absolute reliability with a proven track record of puncture attendance and dependability.
• Immediate availability to begin working as soon as possible.
