Responsibilities
• Execute full end-to-end Canadian payroll cycles on a bi-weekly and semi-monthly basis using UKG systems.
• Process regular and off-cycle payrolls including performance bonuses, retroactive pay, adjustments, and corrections.
• Validate all critical payroll inputs such as new hires, terminations, leaves of absence, benefit deductions, garnishments, and taxable benefits.
• Conduct rigorous payroll audits, balance checks, and bank funding reconciliations to guarantee 100% processing accuracy.
• Lead complete calendar year-end payroll processing, reconciliations, and filings including T4, RL-1, T4A, WCB/CSST, and government health tax filings (EHT, QMD, MHT).
• Maintain payroll system configurations, updating holiday schedules, benefit rates, and legislative tax tables.
• Ensure multi-jurisdictional tax compliance across all Canadian provinces with specific emphasis on Quebec statutory regulations.
• Issue Records of Employment (ROEs) and serve as the primary resource for internal payroll audits, government inquiries, and legislative updates.
• Support payroll system upgrades, testing, and potential future provider transitions or acquisition integrations.
• Prepare detailed payroll reporting for Finance, Total Rewards leadership, and external auditing teams.
Qualifications
• Minimum 5 years of progressive Canadian payroll administration experience in a complex, high-volume environment.
• Demonstrated experience processing semi-monthly and bi-weekly payroll for at least 500 employees.
• Hands-on expertise with UKG, ADP, multi-province payroll processing, and Quebec compliance.
• Proven track record leading full year-end processing, T4/RL-1 reconciliations, and statutory tax reporting.
• Secondary education required; post-secondary degree/diploma in payroll, accounting, or business administration preferred.
• PCP (Payroll Compliance Professional) or PLP (Payroll Leadership Professional) designation through the National Payroll Institute is strongly preferred.
• Flexibility and comfort navigating periods of organizational growth, system enhancements, or software migrations.
