The Rental Coordinator position is a critical role within the manufacturing & logistics landscape. You will be responsible for ensuring that all equipment is accounted for, scheduled correctly, and ready for our clients’ essential projects. This role requires a high degree of adaptability and a "no-ego" approach to teamwork. Working within a small, tight-knit branch, the Rental Coordinator must be a clear communicator who can handle the pressure of peak rental seasons while maintaining a sharp eye for detail. As a manufacturing & logistics professional, you will play a key part in the success of the local industrial and construction community by providing reliable equipment solutions.

Responsibilities
• Coordinate all aspects of equipment rentals, including booking, scheduling, and logistics for the manufacturing & logistics division.
• Act as the primary point of contact for clients, providing expert advice on equipment availability and rental terms.
• Maintain accurate records of inventory levels and equipment status within the internal tracking system.
• Manage the dispatching of equipment to ensure timely delivery to various job sites across the Calgary region.
• Process rental contracts, invoices, and return documentation with a high level of accuracy.
• Collaborate closely with the service and yard teams to ensure equipment is maintained and ready for rent.
• Handle high volumes of calls and emails, providing professional and efficient service to all stakeholders.
• Resolve any client issues or discrepancies regarding rental agreements or equipment performance promptly.
• Support the branch manager with administrative tasks and reporting related to manufacturing & logistics performance.
• Ensure all safety protocols are followed and that documentation meets industry compliance standards.
Qualifications
• Minimum of 2–3 years of experience in a coordinator, dispatcher, or customer service role within the manufacturing & logistics or rental industry.
• Valid driver’s license and access to a reliable personal vehicle (location is not transit-accessible).
• Availability to work on-site in Rocky View County from 8:00 a.m. to 5:00 p.m., Monday through Friday.
• A high school diploma is required; post-secondary education in logistics or business administration is considered an asset.
• Demonstrated ability to work in a small team environment where adaptability is key to success.
• Physical ability to occasionally wear PPE and enter yard areas when necessary to assist with equipment checks.
• Legal authorization to work in Canada for any employer.
