Responsibilities
Project Support:
Assist project managers in planning, organizing, and coordinating construction projects.
Collaborate with cross-functional teams to establish project goals, timelines, and deliverables.
Assist the project team to adhere to the timelines and deliverables.
Document Management:
Maintain accurate project documentation, including contracts, permits, blueprints, specifications, and other relevant records. Ensure proper version control and accessibility to team members.
Understand the contract documents.
Prepare a submittal log.
Track, and process all submittals (shop drawings, product data, samples, inspection reports closeout documents etc.).
Scheduling:
Develop and maintain project schedules, incorporating critical milestones, tasks, and dependencies. Monitor progress against schedules and identify potential delays or deviations, proposing solutions as necessary.
Manage day-to-day activities for the Project Management team.
Communication:
Facilitate clear and effective communication between project stakeholders, including project managers, subcontractors, suppliers, clients, and regulatory authorities. Provide regular project updates and reports to the relevant parties.
Maintain excellent relationships with owners, architects, consultants, trades, and the public.
Resource Coordination:
Coordinate the procurement of materials, equipment, and services required for construction projects. Collaborate with procurement and logistics teams to ensure timely delivery and allocation of resources.
Utilize our Project Management software, to complete all project administration.
Coordinate warranty work with the Project Team.
Risk Management:
Identify potential risks and issues that could impact project timelines, budgets, or quality. Work with project managers to develop mitigation strategies and contingency plans.
Quality Assurance:
Monitor construction activities to ensure adherence to project specifications, industry standards, and safety regulations. Conduct regular inspections to verify work quality.
Prepare close-out documentations, including O&M manuals, warranties, and archive project records with the assistance of the Project Closeout Coordinator.
Budget Tracking:
Assist in tracking project expenditures against budgets. Raise awareness of any potential cost overruns and support the implementation of cost-saving measures.
Meeting Coordination:
Organize and facilitate project meetings, including preparation of agendas, meeting minutes, and action items. Follow up on action items to ensure timely completion.
Change Management:
Assist in managing changes to project scope, schedule, or budget. Document change requests, assess their impact, and communicate adjustments to relevant stakeholders.
Supervise, mentor, coach, and train other project personnel, when applicable.
Qualifications
Engineering degree or technical college diploma in Construction Management or equivalent combination of technical training and/or related experience
Minimum 3 years of construction experience.
Knowledge of all aspects of construction specifically including submittal, RFIs, Change Events and closeout.
Strong understanding and adherence to safety standards
Computer literate, including proficiency with Microsoft Office Suite, including Microsoft Project
Excellent presentation, verbal, written, communication and interpersonal skills.
Proven ability to diagnose, analyze and develop solutions to complex issues.
Ability to multitask and prioritize various tasks with conflicting deadlines.
Strong organizational skills and high attention to detail
Ability to work independently and as part of a team.
Ability to adapt to changing environments and timelines.
Excellent time management skills
