Responsibilities
Sales and Work Order Management
High-Volume Call Handling: Serve as the professional, friendly primary point of contact for all incoming sales calls, directing inquiries, and providing preliminary information.
Accurate Work Order Entry: Meticulously and efficiently translate complex, detailed specifications from 2-3 Outside Sales Representatives into accurate system work orders. Data entry speed and accuracy are crucial.
Order Tracking & Logistics: Proactively manage the order lifecycle, tracking status, coordinating with production/logistics teams, and scheduling deliveries to meet strict timelines.
Customer Updates: Maintain high customer satisfaction by providing proactive and professional communication regarding status updates, delivery schedules, and any potential issues.
Sales Team Support: Deliver comprehensive administrative assistance to the sales team, including preparing essential sales documentation, managing communications, and organizing digital and physical files.
General Administrative and Office Support
Front Desk Reception: Manage the main reception area, professionally welcoming visitors and handling incoming/outgoing mail and general office inquiries.
Supply Management: Monitor, maintain, and order inventory for all necessary office supplies.
System Administration: Perform regular administrative tasks within the system related to ongoing order tracking and ensuring customer files are up-to-date.
Office Maintenance: Maintain an organized, tidy, and functional general office space for all staff and visitors.
Qualifications
Proven experience in an administrative support or coordination role, preferably within a blue-collar, manufacturing, or industrial setting.
Exceptional data entry speed and accuracy, with a strong commitment to detail when processing critical work order information.
Excellent communication skills, both verbal (for high-volume calls) and written (for professional correspondence and customer updates).
Demonstrated ability to manage multiple priorities simultaneously in a deadline-driven environment.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience working with administrative systems/databases.
A strong, positive work ethic and the ability to work independently while also contributing to a team environment.
