Responsibilities
Technical Writing
•Develop and maintain high-quality documentation for the M365 project, including user guides, standard operating procedures (SOPs), technical reference manuals, quick reference cards, FAQs, and training materials.
•Translate complex technical configurations, policies, and workflows into clear, concise, and accessible language for all employees.
•Ensure all documentation aligns with internal standards, templates, and accessibility requirements (e.g., WCAG 2.1, Government of Canada standards).
•Collaborate closely with solution architects, project managers, and technical teams to accurately capture M365 configurations, processes, and best practices.
•Maintain version control and documentation repositories in SharePoint or other approved systems.
Business Analysis
•Gather, document, and validate business requirements for M365 collaboration tools such as Teams, SharePoint Online, OneDrive, and related governance models.
•Conduct stakeholder interviews and workshops to understand business needs, current challenges, and desired outcomes.
•Analyze and document current and future-state processes to support the implementation of M365 capabilities and governance frameworks.
•Support the development of policies and procedures related to information management, data classification, and access control in the M365 environment.
•Work with technical teams to align M365 configurations with business and compliance requirements.
Communications Support
•Draft internal communications, newsletters, and project updates to keep stakeholders informed throughout the M365 transformation.
•Develop clear messaging and change management materials to support user adoption and engagement.
•Contribute to presentation decks, intranet content, and FAQs to support organizational readiness and end-user training.
•Ensure that communication materials are tailored to different audiences, promoting understanding and engagement across a diverse community.
Qualifications
Mandatory:
•Minimum 5 years of experience as a Technical Writer, Business Analyst, or in a hybrid role involving both documentation and analysis.
•Demonstrated experience writing technical and business documentation for enterprise IT projects.
•Proven ability to communicate complex technical concepts to non-technical audiences.
•Excellent attention to detail, organizational skills, and ability to work independently in a dynamic project environment.
•Strong stakeholder engagement and collaboration skills.
Assets:
•Bilingual (English/French): strong written and verbal communication in both official languages.
•Experience working within the Government of Canada environment, with familiarity in GC standards, policies, and procedures related to IT projects, security, and accessibility.
•Experience supporting Microsoft 365 (M365) implementations
•Experience with M365 governance, change management, or digital adoption initiatives.
Education:
•Post-secondary degree or diploma in Technical Communication, Information Technology, Business Analysis, Communications, or a related field.
•Professional certifications are considered an asset (e.g., CBAP, PMI-PBA, M365 Fundamentals, Technical Writing certification).
Soft Skills:
•Exceptional written and verbal communication abilities.
•Strong analytical and problem-solving skills.
