Responsibilities
Front-of-House Operations
•Serve as the primary point of contact for employees, clients, guests, and external vendors.
•Deliver reception and switchboard services while maintaining a professional and welcoming office environment.
•Manage visitor registration, security access procedures, and guest hospitality.
•Provide exceptional customer service by responding to workplace inquiries and resolving operational issues through multiple systems.
•Coordinate meeting room bookings and ensure spaces are fully operational and presentation-ready.
•Manage catering requests from intake through delivery, setup, and teardown.
•Coordinate hospitality requirements for client meetings, leadership events, town halls, recruiting events, and employee functions.
•Maintain café supplies, kitchen inventories, and beverage services.
•Support office events and workplace experience programs from planning through execution.
Facilities Management
•Manage office supply inventories and coordinate purchasing activities.
•Process invoices, purchase requests, vendor agreements, and procurement activities.
•Coordinate incoming and outgoing mail, courier services, and package management.
•Maintain workplace records, operational documentation, and service requests.
•Support project space bookings and workspace coordination.
•Act as the local liaison with building management, maintenance providers, and workplace vendors.
•Coordinate repairs, maintenance requests, and workplace service calls.
•Monitor office cleanliness, appearance, and overall functionality.
•Oversee furniture, fixtures, workplace assets, and equipment inventories.
•Support office renovations, workspace reconfigurations, and move management activities.
•Coordinate confidential waste management and security-related workplace processes.
Qualifications
Education & Experience
•3-5 years of experience in office operations, workplace services, hospitality, facilities coordination, or administrative management.
•Experience managing multiple vendors, competing priorities, and stakeholder relationships.
•Experience coordinating events, catering, and workplace programs is considered an asset.
Knowledge & Skills
•Exceptional customer service and relationship management skills.
•Excellent communication and interpersonal abilities.
•Strong organizational and project coordination skills.
•Ability to prioritize competing demands and work independently.
•Experience with Microsoft Office Suite, workplace management systems, and service management platforms.
•Strong financial administration skills, including purchasing and invoice processing.
•Sound judgment, discretion, and problem-solving abilities.
