Our client in Dorval is currently looking for an administrative assistant for there purchasing department. Administrative Assistant for Imports works alongside the Purchasing Manager, and other team
members, and manages the paperwork of the import process. From entering the purchase orders in the system.

Responsibilities
Administrative Assistant for Imports works alongside the Purchasing Manager, and other team members, and manages the paperwork of the import process. From entering the purchase orders in
the MSBC system to managing all importing paperwork, and tracking of all shipments. Will work with freight forwarders and customs brokers to clear incoming goods.
Key Responsibilities:
Document Management: Check commercial invoices, packing lists, bills of lading, and certificates of origin for accuracy.
Shipment Tracking: Monitor cargo bookings and transit times and update internal records on delivery status.
Customs Coordination: Works alongside another Administrative Assistant in preparing files for customs brokerage and freight forwarders to secure timely release of goods.
Invoice, Data Processing and Wire Payments: Match supplier invoices against purchase orders and prepare supplier file for wire payment or letters of credit.
Communication: Correspondence with overseas suppliers regarding any missing documents or information such as shipment details, answer any logistics queries.
Qualifications
-Bilingual English / French (spoken and written)
-English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis
-Education: CEGEP diploma or a degree in business, administration supply chain, or international trade.
-Experience: 2 to 5 years in an office, logistics, or import environment.
-Skills: STRONG organizational skills, data entry accuracy, and familiarity with Microsoft Excel.
-MSBC an asset
-Knowledge: Basic understanding of shipping terms (Incoterms) and customs paperwork is a
plus.
- Able to work in a fast pace environment
- Good communication skills
-Attention to detail
-Comfortable with computers
