Office Coordinator & Right Hand to Management
Status: Permanent – Full-time

Responsabilités
Your Role and Responsibilities
Serving as the administrative heart of the branch and the Vice President’s right hand, you will play a pivotal role in daily operations. You will wear many hats, ensuring smooth office operations, providing accounting support, and delivering excellent internal and external customer service.
1. Administrative Management and Office Coordination
Act as the welcoming first point of contact for visitors, clients, suppliers, and team members.
Manage daily office operations (ordering supplies, kitchen inventory, workspace organization).
Manage physical and electronic filing systems.
Coordinate logistics for meetings, internal events, and branch communications.
2. Accounting and Financial Support
Process and code accounts payable (supplier invoices) and accounts receivable (payments, credit cards).
Prepare and issue client invoices while rigorously tracking receivables.
Monitor project-related costs (transportation fees, customs, credits).
Assist with month-end activities (rebates, journal entries, inventory reconciliation checks).
3. Operations and Customer Service Support
Respond to inquiries and ensure seamless communication with the sales, warehouse, and logistics teams.
Prepare and track delivery, shipping, and order-tracking documentation.
Assist with the administrative management of inventory and physical counts.
Identify and propose improvements to existing administrative processes.
Qualifications
Experience in an office coordination, office management, or senior administrative assistant role.
Bilingualism required; advanced English proficiency is essential due to daily communication with colleagues and suppliers in Ontario and the United States.
Strong interpersonal skills, autonomy, and a solution-oriented mindset.
Hands-on, versatile approach; comfortable juggling shifting priorities.
Excellent attention to detail, precision, and organizational skills.
IT skills: Proficiency in the Microsoft Office suite (Excel, Word, Outlook, Teams); familiarity with accounting software or an ERP system (an asset).
