The Executive Assistant will provide high-level administrative support to the CEO of a cooperative operating in the floral industry. Responsibilities
Executive Support
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
- Prepare and organize agendas, presentations, and reports for meetings.
- Handle email correspondence, draft responses, and prioritize requests.
- Act as a gatekeeper for calls and access to the CEO.
- Provide additional support to key leadership team members as needed.
Administrative & Office Management
- Maintain confidential records and documents.
- Coordinate travel arrangements and event planning.
- Process expense reports and financial reconciliations.
Communication & Coordination
- Liaise with internal teams, board members, stakeholders, and external partners.
- Assist in preparing and distributing reports and follow up on action items.
- Draft professional communications for internal and external audiences.
Technology & Documentation
- Prepare, edit, and format documents and presentations with accuracy.
- Utilize Microsoft Office and Adobe Suite to streamline administrative processes.
- Assist with data entry and organization of key business documents.
Special Projects & Research
- Conduct research to support business decisions.
- Coordinate special initiatives led by the CEO.
- Identify opportunities to improve administrative processes.
Qualifications
- 10+ years of experience supporting executives in privately owned companies.
- Proven track record as an Executive Assistant or similar role in a business operations, agriculture, or wholesale environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other relevant tools.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills with a professional yet approachable tone.
- Ability to work independently in a high-pressure environment.
- High attention to detail and problem-solving abilities.
- Experience handling confidential information with discretion.
