Our client in theautomotive industry in the West Island is currently looking for an Executive Assistant. 5 days a week (no remote work)

Responsibilities
Key Responsibilities:
Executive Support
Manage the President & CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare correspondence, reports, presentations, and other documents in both French and English as appropriate.
Draft and edit high-level communications with clarity, accuracy, and discretion.
Coordinate internal and external meetings, ensuring all logistical details are handled seamlessly.
Board of Directors Liaison
Act as the main point of contact between the President & CEO and the Board of Directors.
Prepare and distribute Board materials, agendas, and minutes in English only.
Coordinate Board meeting logistics and follow-up actions.
Maintain strict confidentiality around all Board matters.
Management Team Support
Provide administrative assistance to members of the senior management team as required.
Support team initiatives, prepare materials, and track action items.
Assist with preparation and tracking of expense reports, budgets, and other financial documents, including advanced use of Excel for analysis and reporting.
Relationship Management
Serve as a professional representative of the President & CEO in interactions with internal and external stakeholders, including dealer-shareholders and key supply partners and OEMs.
Handle incoming communications and requests with courtesy, responsiveness, and appropriate prioritization.
Communicate effectively with staff in both French and English.
Special Projects & Versatility
Undertake research and prepare briefing materials.
Manage special assignments and evolving priorities with flexibility and initiative.
Contribute wherever needed to support the organization’s commitment to excellence and continuous improvement.
Qualifications
Qualifications & Requirements
Fluently bilingual in French and English, with excellent oral and written skills in both languages.
Comfortable working in a primarily French-speaking environment.
Minimum 5 years of experience supporting C-suite executives, preferably in a mid-size or entrepreneurial organization.
Demonstrated ability to interact effectively, tactfully, and confidently with Board members, senior executives, partners, and clients.
Highly organized and detail-oriented, with proven ability to manage multiple priorities and deadlines in a fast-paced setting.
Advanced proficiency in Microsoft Office Suite, especially Excel for preparation and tracking of expense reports and related documentation.
Strong writing, editing, and proofing skills in both French and English.
Ability to handle sensitive information with the highest degree of discretion and confidentiality.
Professionalism, sound judgment, and a proactive approach.
Flexibility, adaptability, and willingness to take initiative in a dynamic environment where responsibilities may evolve.
