The perfect symbiosis between visionary leadership and administrative support is a strategic force. At the heart of this West Island institution, you are more than an assistant; you are the Guardian of Governance. Your mission is to serve as the pillar for the Board of Directors, allowing leaders to focus entirely on the growth of the community.
...
In this pivotal "Right Hand" role, your diplomacy and precision transform administrative complexity into a well-oiled machine. We aren't just offering a job; we are offering a seat at the center of a Quebec flagship where your "respectful push-back" and initiative are truly valued.
Duration: Temporary mandate with the possibility of extension.
Location: Montreal (West Island) – A stimulating and people-focused environment.
Salary: Competitive range.
Schedule: Full-time (35 hours/week).
Board Meetings: Evening availability required approx. every 2-3 months.
Language Requirements
French: Advanced proficiency. English: Excellent mastery is required to serve our national/international clientele and to collaborate with stakeholders outside of Quebec.
Advantages
Major Canadian institutions often use agencies as their exclusive point of entry. A contract is frequently the "test drive" that leads to a permanent position.
Having a Canadian flagship institution on your CV instantly shifts how future recruiters perceive you. It serves as a seal of professional excellence and rigor.
Impact & Autonomy: You will support a high-level Director who values executive autonomy and full ownership of dossiers. This is a role for a self-sufficient professional; there is no hand-holding here, just true strategic partnership and mutual trust.
Most Randstad contracts provide weekly pay, a significant advantage for managing your cash flow and financial peace of mind.
Responsibilities
You prepare, attend, and ensure the rigorous follow-up for Board of Directors (CA) and Management Committee meetings. You are the "master pen" behind high-quality, manual minutes and critical decision-making dossiers.
You act as a confidential liaison between the General Manager and the market directors. You manage sensitive files (HR, strategy) with absolute discretion and a proactivity that anticipates needs before they are voiced.
You coordinate team meetings, assemblies, and public relations activities from A to Z, ensuring every detail reflects the excellence and prestige of our institution.
You oversee the secure sharing of strategic documents and ensure strict compliance with institutional policies. You are the guardian of information, ensuring every detail reflects the prestige of the institution.
You serve as the essential point of contact for the team regarding all operational matters, ensuring seamless consistency across all internal processes.
You analyze existing administrative processes with a critical eye, suggesting digital tools or workflow improvements to increase the team's collective efficiency.
Qualifications
3 to 5 years in executive administrative support (experience with a Board of Directors or governance structures is a major asset).
Exceptional ability to synthesize complex discussions into precise, professional minutes without the aid of AI.
Advanced proficiency in the Microsoft 365 Suite (Teams, SharePoint, OneNote).
Advanced French (written and spoken). English proficiency is required to serve our international clientele and to collaborate with stakeholders outside of Quebec.
Soft Skills: Strategic agility with "respectful push-back"; you are a diplomatic partner who provides alternatives rather than just being a "Yes Person," balancing operational firmness with a deep respect for cooperative values and a calm, organized presence in high-stakes environments.
