As a Document Storage Analyst, you are an expert at navigating physical and digital documents in a dynamic environment. Working closely with business owners, you will be responsible for executing the end-to-end process for accurate and efficient document storage and digitization. You must be comfortable working independently and operating professional-grade hardware to convert physical files into digital assets while maintaining strict compliance with privacy and security protocols.
Work Locations: This role requires reporting to two onsite branch locations in Ottawa:
Hunt Club Rd Branch: Ottawa.
Bank St Branch: Ottawa.
Schedule: Monday to Friday, 9:30 AM – 5:30 PM (37.5 hours per week).

Responsibilities
Digitization & Records Management
Preparation: Prepare physical paper documents filed within the retail branches for the digitization lifecycle.
Scanning Operations: Operate Ricoh copier/scanner hardware to scan paper documents into digital formats efficiently.
Quality Assurance: Review digitally filed documents to confirm visual accuracy and ensure they meet all specific business and regulatory requirements.
Filing & Security: Manage physical files within the branch, ensuring they are organized and secured in their designated locations at all times.
Reporting & Communication
Project Updates: Provide daily and weekly status updates to management teams via email and/or Microsoft Teams.
Risk Identification: Ensure timely communication of any issues or points of interest, identifying emerging risks in the digitization process early.
Stakeholder Interaction: Work closely with branch business owners to execute storage processes without disrupting branch operations.
Compliance & Safety
Safety Protocols: Adhere to all Health and Safety rules of the working location, including the mandatory use of face masks in open areas of the branch.
Privacy & Conduct: Strictly adhere to established Privacy Policies and Employee Conduct Rules regarding sensitive financial documentation.
Qualifications
Mandatory Requirements
Experience: Minimum of 2+ years of professional administrative or document management experience.
Technical Skills: Proficiency in the Microsoft Office Suite (specifically Outlook, Teams, and Excel).
Hardware Proficiency: High comfort level operating professional photocopiers and scanning hardware.
Organizational Mastery: Highly developed organizational skills with the ability to manage high volumes of paperwork independently.
Communication: Strong verbal and written communication skills for reporting and team coordination.
Education: High school diploma or equivalent.
Preferred Qualifications
Previous experience in document filing, records management, or high-volume digitization projects.
