Responsibilities
1. Accounts Payable (AP)
Verification: Review and verify all vendor invoices for accuracy, completeness, and proper authorization.
Coding & Entry: Ensure invoices are coded to correct expense categories and enter data into the AP system.
Payment Processing: Coordinate internal approvals and generate payments (cheques/electronic) in a timely manner.
Vendor Relations: Maintain professional relationships and resolve inquiries regarding payment delays or discrepancies.
Record Keeping: Maintain accurate documentation for auditing and reporting purposes.
2. Accounts Receivable (AR)
Billing: Generate and implement monthly rent billings for tenants accurately and on time.
Application of Funds: Apply tenant payments, subsidies, and financial assistance (cheques, cash, electronic) to tenant accounts.
Account Tracking: Monitor tenant accounts for outstanding balances and coordinate with property management regarding overdue payments and late fees.
Reconciliation: Work with property management to resolve discrepancies and ensure payments are applied correctly.
3. General & Organizational
Compliance: Ensure all processes adhere to legal requirements, internal controls, and organizational policies.
Reporting: Assist the finance team with month-end reconciliations, retrieval of invoices, and preparation for financial statements/audits.
Culture: Model organizational values, participate in wellness initiatives, and maintain confidentiality (PHIPA compliance).
Qualifications
2-year diploma in bookkeeping or equivalent; a degree in Finance or Accounting is preferred.
Minimum 2–3 years of proven experience in a similar AP/AR role.
Proficiency in MS Excel is mandatory.
Familiarity with Yardi accounting software is required.
Experience in Property Management or the Non-Profit/Social Services sector is a significant asset.
