Responsibilities
Accounting (75%)
- Process and record accounts payable and receivable, ensuring timely payments and accurate coding.
- Match invoices with POs, quotes, freight costs, and shipping docs — accuracy is key!
- Track and allocate project costs (product, freight, brokerage, credits, etc.).
- Reconcile accounts monthly, track accruals, and assist in month-end closings.
- Manage inventory purchases and record entries in Great Plains.
Credit & Collections (10%)
- Monitor aging reports, follow up on overdue accounts, and flag potential issues.
- Apply payments (cheque, EFT, credit card) and issue invoices and statements.
- Help assess credit risk and prepare credit approval packages.
- Work with collection agencies if needed.
Admin Duties (10%)
- Maintain customer profiles, organize digital files, and support internal reporting.
- Prepare paperwork for vendors/customers and assist with the annual audit.
- Occasionally answer calls and route inquiries across departments.
General Support (5%)
- Help with internal communication and pitch in with admin tasks as needed.
Qualifications
- 2–5 years of bookkeeping/AP/AR experience in a busy office setting.
- Strong grasp of accounting principles and the three-way match process.
- Comfortable with Excel and open to learning new software (Great Plains experience is a plus!).
- Organized, accurate, proactive — you catch the small stuff before it becomes a big issue.
- Fluent in English and French (spoken and written).
- Ready to pass a background check.
