Schedule: Monday to Friday, full-time hours (Flexible options: 9:00 AM – 5:00 PM or 8:30 AM – 5:30 PM depending on unpaid break duration)

Responsibilities
Executive & Inbox Management
Inbox Triage: Take ownership of and proactively manage the high-volume email inboxes for both the COO and Executive Director.
Calendar & Travel: Coordinate complex scheduling, calendar management, meeting logistics, and travel planning.
Financial & Operational Tracking
AP/AR Support: Accurately track financial invoices as they move through Accounts Payable (AP) and Accounts Receivable (AR) processes.
Expense & Data Management: Maintain internal tracking spreadsheets, process executive expense reports, and organize digital files with a high attention to detail.
Partner Stewardship & Event Coordination
Executive Correspondence: Act as a professional point of contact for external corporate partners, navigating sensitive conversations and interactions involving senior-level executives.
Event Planning Support: Assist with the logistical planning, vendor coordination, and execution of organizational events, including major annual partner celebrations and networking gatherings.
Qualifications
Professional Impact & Discretion:
Demonstrated experience communicating effectively with high-level corporate executives.
Flawless discretion when handling sensitive organizational and financial matters is mandatory.
High Autonomy: Proven ability to work independently with low supervision. You take immediate initiative and can solve problems resourcefully before they escalate.
Cultural Competency:
A strong understanding of or direct experience working alongside First Nations communities, respecting Indigenous worldviews and consultation practices.
At a bare minimum, a deep respect for Indigenous history is required.
Adaptability: Calm and collected under pressure; comfortable prioritizing competing, time-sensitive tasks in a passionate, mission-driven team environment.
Technical Aptitude: Proficient with Google Workspace, Microsoft Office, and digital tracking spreadsheets. Familiarity with CRM systems (such as HubSpot) or design tools (such as Canva) is considered an asset.
