Administrative Assistant / Receptionist
We are seeking an Administrative Assistant / Receptionist for a major insurance company located in Quebec City.

YOUR MISSION AT A GLANCE

As the first point of contact, you will ensure the smooth daily operations of the office:
Reception: Greet clients with a smile and handle incoming calls.
Support: Assist the brokerage team with invoicing and document preparation.
Admin: Manage mail and emails, and digitize paper files.
Technology: Work across various management platforms (we use 6 different softwares).
Payments: Process client payments and issue receipts upon request.
Advantages

Salary: $45k – $48k (plus a bilingualism bonus if applicable).
Schedule: Classic office hours, Monday to Friday, 8:30 AM to 5:00 PM (37.5 hrs/week).

Professional Responsibilities
Front Desk & Reception
Customer Relations: Provide a warm and professional welcome to clients at the branch.
Communications: Manage incoming calls and efficiently direct them to the appropriate team members or departments.
Administrative Support
Brokerage Assistance: Provide comprehensive support to P&C (Property and Casualty) insurance brokers, including billing and document distribution.
Correspondence: Manage professional email correspondence between clients and insurance providers to ensure timely follow-ups.
Document Management
Record Keeping: Digitally archive files and maintain a rigorous system for processing all incoming and outgoing mail.
Accuracy: Ensure all documentation is organized and easily accessible within the company’s database.
Information Systems
Software Proficiency: Navigate seamlessly across 6 specialized platforms (including Epic, Focus, and Contact AP) to provide cross-divisional support.
Data Integration: Maintain up-to-date client information across various internal systems.
Transactions & Finance
Payment Processing: Handle client payments securely and accurately.
Reporting: Generate and issue official receipts and necessary financial documentation.
Qualifications
Experience & Expertise
Proven Track Record: Previous experience in a similar administrative or reception role.
Industry Knowledge: Possession of a P&C (Property and Casualty) insurance license or prior experience in the insurance sector is considered a significant asset.
Language & Communication
French Proficiency: Mastery of the French language is required.
Bilingualism: Advanced English skills are a strong asset to serve our English-speaking clientele.
Note: This position is eligible for a bilingualism premium.
Technical Skills
Digital Fluency: High level of comfort with technology; ability to multitask and toggle seamlessly between several software programs simultaneously.
Core Competencies
