About Our Client
Our client, a globally recognized leader in elevation systems and urban mobility, is currently seeking a Bilingual Administrative Assistant to join their team in Anjou.
You will join a stimulating work environment within a close-knit team (approx. 12 to 15 office employees). In this role, you will provide key administrative support to managers, operational teams, and field technicians/mechanics.
Language Requirement
Bilingualism (French and English, spoken and written) is required for this role, as the incumbent will be required on a daily basis to communicate with suppliers, partners, and clients located outside of Quebec.

Responsibilities
Welcome visitors and manage incoming phone calls as well as general inquiries.
Coordinate mail reception and incoming deliveries.
Maintain and manage common areas (coffee supplies, organization of shared spaces).
Schedule and coordinate mechanics' appointments.
Update and maintain mechanics' information in administrative systems (CCQ cards/expiration dates, driver's licenses, etc.).
Collaborate daily with field teams (blue-collar workers) and office staff (white-collar workers).
Manage, file, and archive physical and electronic records for payroll and projects (Construction, Mod, Repair, and maintenance contracts).
File and archive accounting documents (invoices, purchase orders, accounts payable).
Update contract files in the management system (contract types and dates, notes, special hourly rates, specific instructions).
Ensure the overall accuracy, confidentiality, and integrity of office data and records.
Qualifications
Bilingualism: Bilingualism (French and English, spoken and written) is required for this role, as the incumbent will regularly communicate with stakeholders, suppliers, and partners located outside of Quebec.
Computer Skills: Excellent proficiency in the MS Office suite (Outlook, Excel, Word, Teams) as well as comfort using SharePoint and OneDrive. (Knowledge of field service management software such as Field Complete is an asset).
Strong organizational skills, thoroughness, autonomy, and excellent priority management.
Strong communication skills, a high standard of customer service, and the ability to easily collaborate with a variety of profiles (managers, technicians, clients).
Team player, proactive, and strict adherence to confidentiality.
