Your Role:
As an Administrative assistant, you will actively contribute to the sector's administrative activities. You will collaborate on problem-solving, situational analysis, and the development of appropriate recommendations.
You will thrive in a dynamic environment that requires autonomy, rigor, adaptability, and the ability to work comfortably in an ambiguous context. You will interact with numerous stakeholders and work in close collaboration with internal teams.
Schedule: Operational service hours
Salary: $24.00 – $30.00 / h (based on experience)
Contract: Until December 2026, with a possibility of extension
Start Date: April 27, 2026 (Potential to start earlier than the proposed date)

Responsibilities
Operations Management: Perform activities related to personnel movements, billing, staffing, and operational support.
Internal Management Tasks: Execute various administrative tasks, including:
Dashboards: Maintaining and updating operational dashboards.
Expense Accounts: Tracking and processing expense reports.
Inventory & Equipment: Managing inventory and office material.
Process Compliance: Ensure the completion and adherence to the unit's administrative operational processes.
Analysis & Reporting: Conduct analyses and produce, review, or update reports and statistics.
Quality Control: Perform administrative and operational quality controls, propose corrective measures, and ensure required follow-ups.
Secretarial Support: Handle various secretarial activities, specifically:
Documentation: Drafting, formatting, and updating documents.
Linguistic Review: Producing and performing linguistic reviews of information documents from various sectors.
Continuous Improvement: Update existing processes and propose continuous improvements to optimize administrative activities.
Qualifications
Communication in French is required; English is an asset. You may be required to communicate with [clients/partners/employees] who are English-speaking and located outside of Quebec on a [daily/regular] basis.
Education: Diploma of Vocational Studies (DEP) in an appropriate field.
Experience: Minimum of three (3) years of relevant experience.
Equivalency: An equivalent combination of education and relevant experience may be considered.
French Proficiency: Excellent command of French, both spoken and written.
English Proficiency: Proficiency in English is considered a strong asset.
Technical Skills: Mastery of the Office 365 Suite.
Advanced Excel: Advanced mastery of Excel is required.
