Departmental Administrative Support
•Serve as the primary point of contact for directing or answering questions and providing ad hoc support to departmental employees.

•Assist with the smooth onboarding of new employees, including the accurate input of Personnel Movement Requisitions (PMRs) in the system for personnel moves and team changes.
•Order and manage office supplies to ensure the department is well-stocked.
•Distribute internal mail efficiently within the department.
•Initiate, submit and follow-up on facilities related tickets such as office/desk moves, meeting room setups, and tickets for facilities issues or concerns
•Submit and follow up on IT-related tickets to ensure timely resolution of technical issues.
•Coordinate visits for external customers, including arranging meetings, catering, and visitor forms.
•Maintain a strong knowledge and understanding of company policies and procedures to ensure compliance and provide accurate information.
•Maintain and organize departmental records, files, and databases on electronic drives to ensure accurate and up-to-date file storage.
Departmental Travel Coordination
•Coordinate and book flights, hotels, and other travel-related services ensuring timely and efficient travel plans.
•Process travel expenses in accordance with company policies, ensuring timely submission and reimbursement.
•Work closely with stakeholders to resolve any issues or discrepancies related to travel expenses.
•Handle last-minute travel changes and quick turnarounds efficiently, ensuring minimal disruption.

Responsibilities
Payroll:
•Process and audit bi-weekly departmental payroll, including identifying and correcting errors for accurate processing
•Interpret and apply Standard Practices to ensure accurate and timely processing
Other:
•Collaborate effectively with the broader administrative team to ensure cohesive support across departments.
•Work closely with various stakeholders such as HR, Finance, and IT to streamline processes and ensure efficient communication.
•Take on special projects as assigned, demonstrating flexibility and the ability to manage multiple tasks simultaneously.
•Assist in planning and coordinating departmental events, meetings, and training sessions.
•Identify opportunities for process improvements and contribute to the implementation of best practices within the department.
Qualifications
REQUIRED QUALIFICATIONS:
•University degree or college diploma in relevant field and/or equivalent/relevant work experience
•Minimum 1-2 years previous executive administrative experience
•Advanced skill level in MS Office applications
•Strong organizational, communication and interpersonal skills
•Demonstrated attention to detail and the ability to exceed expectations
•Ability to work well will minimal supervision
•Ability to maintain confidentiality
PREFERRED QUALIFICATIONS:
•Knowledge of GDLS administrative procedures
•Previous experience working with Oracle
