Responsibilities
• Perform general administrative duties in support of approximately 40 team members.
• Coordination with company Workplace Services and Building Property Management to manage building maintenance needs and visiting 3rd party vendors.
• Supports the functional groups in the Regional Services department with facility and catering bookings for various meetings and training courses
• Act on behalf of the department in dispensing routine administrative information and answering general administrative inquiries.
• Creation of work orders and invoice coding for vendors and third-party service providers.
• Entry and retention of all training and Operator Qualification records.
• Preparing and submitting of personal expense reports.
• Management of department email distribution groups.
• Onboarding and Offboarding of staff members, including arranging office moves, building access credentials and IT systems access.
• Assist staff with navigation and troubleshooting of company systems (Workday, Oracle Cloud, eLink, etc)
• Receive, handle and distribute departmental mail.
• Order and maintain inventory of department office supplies, kitchen supplies, and coffee supplies.
• Supporting Fire Wardens in completing corrective actions identified by regular administrative office Safety Audits.
• Support Fleet Management including monthly mileage tracking, completing vehicle registrations, working with Fleet on ordering and upfitting of new vehicles and decommissioning of existing vehicles
• Provide support for on-call scheduling for Prairie Region
• Other related duties as assigned
Scope/Dimensions
Role mainly provides support to the Regional Services department, however, will be assigned responsibilities by the Director of Prairie Region Operations or Manager of Regional Services. Will work independently but will have certain tasks that require feedback from several members of the team.
Qualifications
KNOWLEDGE, SKILLS, & ABILITIES
• Grade 12 diploma with a minimum of 3 years' experience in an administrative position
• Strong experience with office productivity software (Microsoft Office) including word processing and spreadsheets. Specifically working with medium sets of data, graph generation and Pivot Tables.
• Adept computer skills
• Must have solid communication and organizational skills as well as a high attention to detail
• Enjoys and is willing to take on new responsibilities and duties
• Ability to manage a variety of tasks and adjust priorities as required
Preferred:
• Oracle and/or Workday experience would be an asset
