Proficiency in English (expert level) is required for this Administrative Assistant position due to the nature of the role, which involves regular communication with English-speaking clients, partners, or employees located outside of Quebec on a daily and regular basis (approximately 50% of tasks). Following an internal assessment, it was determined that this requirement is necessary for the performance of the duties and cannot be avoided, as the available internal resources are not sufficient to support these communications outside of the province.

Responsibilities
• Coordinate and manage daily administrative tasks and official documentation for the business administration team.
• Support sales teams with specific requests, including requests for proposals (RFPs), contracts, sales reports, and expense processing.
• Rigorously maintain and update internal systems, performance reports, and databases (notably SAP).
• Carefully prepare, review, and distribute internal and external communications as well as presentation documents.
• Actively participate in the logistical organization of leadership meetings, corporate events, and conferences.
• Collaborate closely with internal teams and external partners to ensure the fluidity of business administration operations.
• Act as the primary point of contact for administrative requests coming from offices outside of Quebec.
Qualifications
• Excellent organizational skills and a demonstrated ability to manage multiple priorities simultaneously.
• Strong interpersonal and writing communication skills in both English and French.
• Advanced proficiency in the MS Office suite (Word, Excel, PowerPoint, Outlook) and business management systems such as SAP.
• High level of autonomy and a strong sense of discretion in handling highly confidential information.
• Analytical mindset and impeccable attention to detail in the production of administrative documents.
