A well-established accounting firm in downtown Toronto is looking for an adaptable and detail-focused Administrative Assistant to join their close-knit team for a 16-month contract, starting ASAP.
In this role, you won’t just be keeping the office in order — you’ll play a key part in supporting accounting professionals, assembling tax packages, managing administrative workflows, and ensuring no detail is missed along the way.

Responsibilities
-Provide backup support to other administrative personnel and managers as needed
Manage front desk operations, including answering calls and responding to client inquiries professionally and efficiently
-Maintain organized and up-to-date document and file systems, both physical and electronic, ensuring data integrity and accessibility
-Track and manage documents using virtual databases and ensure proper version control
-Sort and distribute incoming correspondence, ensuring timely delivery to appropriate managers or departments
-Monitor and maintain inventory of office supplies, place orders as needed
-Assemble Canadian and U.S. tax return packages for submission
-Communicate with the Canada Revenue Agency, Internal Revenue Service, and other government agencies as required
-Assist account managers with filing deadlines and maintain records of mailed documents and submissions
-Perform general office administration duties, including liaising with vendors and service providers as necessary
-Provide responsive administrative support to clients via phone and email communications
-Send timely contract update reminders to clients, in coordination with external vendors
-The responsibilities may evolve over time at the discretion of the Partners and Administrative Manager
Qualifications
-2 to 5 years of experience in an administrative roles, preferably within a public accounting firm
-Proven ability to manage multiple tasks efficiently while maintaining a positive, solution-oriented attitude; willing to take on responsibilities of any scale
-Excellent verbal and written communication skills, with strong problem-solving abilities
-Proficiency in MS Office, at an intermediate level
-Technologically adept, experience with TaxPrep, iFirm, or similar accounting software is considered an asset
