Responsibilities
Executive Support: Manage the Director’s calendar, prioritize emails, and coordinate travel and accommodations.
Office Management: Oversee daily operations, including mail distribution, courier services, and greeting guests.
Inventory Control: Monitor and restock all office and kitchen supplies while ensuring cost-effectiveness.
Meeting Logistics: Schedule meetings, record detailed notes, and organize catering for Board and committee sessions.
Financial Admin: Process invoices, reconcile credit card expenditures, and track travel claims and expenses.
Facilities Coordination: Liaise with property management for office maintenance and manage relationships with equipment vendors.
Communication: Handle professional phone inquiries and draft routine correspondence for internal and external stakeholders.
Documentation: Maintain secure electronic and hardcopy files while ensuring strict confidentiality of sensitive data.
Qualifications
2 years of experience in a similar role
Non profit organization nice to have not necessary
French is an asset
