Responsibilities
Internal Coordination: Ensure communication and information flow between management, teams, and external partners.
Schedule Management and Logistics: Manage complex executive calendars, organize business travel, and handle logistics for internal events.
Project Support: Track the progress of administrative projects, compile data, and prepare status reports for management.
Documentation and Processes: Establish and maintain efficient filing systems, and write, revise, and standardize administrative procedures.
Budget and Procurement: Manage current administrative expenditures, process purchase orders, and monitor budgets in collaboration with the accounting department.
Supervision (depending on the organization): Mentor and guide administrative support staff (Office Clerks, Receptionists).
Qualifications
Experience: A minimum of 3 to 5 years of progressive experience in a coordination or executive assistance role.
Education: College Diploma (DEC) in Administrative Techniques, or a relevant Bachelor’s degree.
Organizational Skills: Exceptional ability to manage priorities, work under pressure, and meet tight deadlines.
Technological Proficiency: Expertise in project management tools (e.g., Asana, Trello) and perfect command of the Microsoft Office Suite software.
Interpersonal Skills: Excellent judgment, professional discretion, and diplomatic tact.
Languages: Bilingualism (French and English), both spoken and written, is often required for this level of position.
