...
As a Project Credit Administrative Coordinator, your expertise will be called upon to ensure compliance and meticulous tracking of legal and financial documentation related to construction projects. Your primary focus will involve executing lien waiver procedures, conducting in-depth analysis and resolution of billing discrepancies, and maintaining rigorous follow-ups with clients and external stakeholders. Thanks to your keen organizational skills and exceptional attention to detail, you will ensure every file is processed with the utmost accuracy. This business administration position offers a stimulating hybrid work environment (3 days in the office in Laval, 2 days remote), balancing flexibility, autonomy, and team collaboration.
To succeed in this position, balanced bilingualism (French and English) is required. Approximately 70% of tasks and communications will be conducted in English to interact effectively with partners, clients, and collaborators located outside Quebec.
Justification for the English Language Requirement (Bill 96):
Our client operates across Canada and internationally (United States and other countries). The company takes all reasonable measures to limit the number of positions in Quebec requiring knowledge of a language other than French, requiring it only when necessary and when existing bilingual employees cannot perform these duties.
Based on an assessment conducted by our client, it has been determined that this position requires candidates to be fluent in English (spoken and written). Specifically, this role requires the employee to:
Communicate on a daily/regular basis with English-speaking clients, partners, and employees located outside Quebec.
Cover a territory extending beyond Quebec, requiring communication with clients and consumers who do not speak French.
Advantages
Flexible hybrid work schedule (3 days in-office in Laval, 2 days remote).
Comprehensive benefits package with premiums fully paid by the company from day one.
Competitive retirement savings plan (RRSP and Defined Contribution Pension Plan) with employer matching up to 5.25%.
Attractive paid time off, including vacation, sick days, and a paid day off for your birthday.
Annual performance bonus program and profit-sharing scheme.
Tuition reimbursement to support your continuous professional development.
Employee Assistance Program (EAP), life insurance, disability insurance, and a comprehensive wellness program.
Exclusive employee discounts and safety shoe allowance/reimbursement.
Responsibilities
Prepare, verify, and execute release/lien waiver documents for project accounts in accordance with strict construction industry standards and procedures.
Analyze, investigate, and efficiently resolve billing discrepancies and anomalies on project credit accounts.
Proactively and meticulously follow up with clients when checks or settlements do not match the requested waivers.
Coordinate closely with the collections team regarding payment exchanges and the release of corresponding waiver documents.
Maintain the accuracy and up-to-date status of monthly waiver and credit reports for management.
Process, organize, and clear the main inbox dedicated to lien waiver requests daily.
Support the business administration team with various related tasks involving project credit and contract management.
Qualifications
Minimum of 2 to 4 years of relevant experience in administration, credit management, collections, or project accounting.
In-depth knowledge of the construction sector and strong proficiency in legal procedures related to preliminary notices, notices of contract, and lien waivers.
Fluent bilingualism (French and English, spoken and written) essential for daily communication with clients outside Quebec.
Exceptional attention to detail, rigorous accuracy, and strong document analysis skills.
Intermediate proficiency in Microsoft Office Suite (specifically Excel, Word, and Outlook).
