Responsibilities
• Greet visitors, maintain visitor sign-in logs, answer telephone inquiries, and direct calls or messages to appropriate personnel.
• Receive, open, and distribute daily mail and manage courier pickups and package preparations.
• Create and maintain accurate customer files, including contact details, specialized instructions, and billing history.
• Receive customer complaints, log information on official complaint forms, and escalate issues to the QA Supervisor or appropriate Manager.
• Process customer orders from entry to release, confirm order details, notify transport carriers, and generate final invoices.
• Prepare packing slips with designated lot numbers for complete product traceability, as well as foreign shipping and federal customs documentation.
• Assist with essential financial tasks including receiving, entering, and filing accounts payable, logging cheques, and conducting bank deposits.
• Order office supplies, maintain service agreements, assist with recall procedures, and perform general filing, faxing, and document preparation.
Qualifications
- 1-2 years experience in reception and/or customer service
- Knowledge of Microsoft Office Suite
- Experience with managing multiple phone lines/switchboard
- Knowledge of ERP(EPICOR) is a benefit
