Responsibilities
What YOU will be doing as the Assistant Office Manager:
Office and Administrative Duties
• Answer main phone line
• Pick-up/deliver mail
• Compile and distribute Weekly Reports to management
• Order office supplies/maintain inventory
• Coordinate monthly staff meetings
• Take meeting minutes
• Assist with onboarding of new employees
• Review, approve and submit vendor invoices on a weekly basis and track and update vendor expense reporting document
• Maintain Accounts Receivable spreadsheet
• Provide support to staff including basic IT assistance
• Work and build a rapport with IT, building staff (Property Manager), contractors etc.
Sales & Marketing
• Maintain Weekly Competitive Tracking
• Assist in any special projects for the Business Development team
Event Planning
• Work with Marketing Director to coordinate
Other duties as required
Qualifications
What YOU bring to the table:
• Strong organizational skills with the ability to set priorities and manage time effectively
• Proven ability to multitask in a fast-paced environment
• Self-motivated and capable of working independently
• Strong computer and technical skills with the ability to troubleshoot problems
• Excellent communication and interpersonal skills; experienced in effectively addressing issues and interacting with internal and external stakeholders
• Office administration experience considered an asset
