Responsibilities
Reporting to the Senior Manager, Facilities Operations, you will be responsible for:
• Client service: Serve as the primary point of contact for facility-related inquiries and issues. Ensure timely and effective communication with internal clients. You will provide regional office facilities operations management acting as the main support for assigned offices and deliver consistent operational excellence and incident resolution. You will also offer backup support for the Toronto Corporate Campus and additional offices to maintain continuous, high-quality service.
• Work order management: Manage work order management systems to track, prioritize, and resolve operations requests. Ensure all work orders are completed accurately and efficiently.
• Incident management: Monitor and manage incident queues, ensuring prompt response and resolution of priority incidents. Troubleshoot and resolve facility-related issues in collaboration with vendors and key partners. Escalate critical incidents to senior leadership and provide clear, proactive status updates
• Vendor coordination: Coordinate with external vendors for maintenance and repair services. Ensure vendors adhere to company standards and complete work within agreed timelines.
Duties:
• Coordinate maintenance requests with landlords, property managers, security, and contractors (e.g., HVAC, plumbing, cleaning, pest control) which may include procurement of products or services and PO & invoice submissions
• Manage small scale moves, additions, changes, and projects with vendors and stakeholders.
• Document standard operating procedures for business continuity.
• Follow service standards and identify when issues need clear responses.
• Escalate critical incidents to management, providing status updates.
• Support the team in problem-solving and decision-making to ensure effective responses.
• Build and maintain strong relationships with team members and service partners to ensure client-focused operations.
Qualifications
• Experience: Minimum of 3-5 years experience in facilities management or a related operational field such as Property Management, or Client Services Operations. Experience with work order management systems and incident management is essential. Preferred candidates will have construction management experience and the ability to read and interpret commercial lease agreements.
• Language: Must be fluent in communicate with French/ English speaking clients located outside Quebec on a regular basis
•Nice to have: Certifications: C.E.T, RPA, FMA, FMP CFM or equivalent designations.
• Office 365: Proficient in Microsoft Office suite, Excel, PowerPoint, and SharePoint.
• Core Skills: Strong proactive thinking, troubleshooting, and problem-solving skills. Excellent communication and client service skills. Proven ability to manage multiple vendors, tasks, and priorities effectively.
