This position is responsible for performing various administrative tasks, including answering telephones and voicemails, giving information to employees and guests; often the first point of engagement with employees and visitors. Salary: $25.7/Hour
Onsite work required three times per week: Tuesday, Wednesday, and Thursday
- No work on Mondays and Fridays

Responsibilities
- Welcome guests and ensure a smooth arrival experience
- Escort guests to designated areas and provide assistance as needed
- Gather contact information from visitors for records and communication
- Confirm guest arrivals and coordinate any necessary follow-ups
- Collaborate with the facility team to maintain an organized and functional workspace
- Assist in vendor management related to cleaning, pest control, and maintenance services
- Support the Assistant Facility Manager with daily operations and special projects
Qualifications
Must Have Skills:
- Strong communication skills to interact effectively with guests and teams
- Proficiency in French and English, both written and spoken
- Familiarity with Microsoft Suite, including Word, Excel, and Spreadsheets
- Ability to create professional PowerPoint presentations for meetings and reports
- Knowledge of SAP systems (preferred but not required)
- Experience with Coupa (preferred, but not a requirement)
Other skills and/or abilities:
COMMUNICATION SKILLS
- Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
- Comfortable meeting and engaging with new people.
- Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.
FINANCIAL KNOWLEDGE
- Ability to calculate simple figures such as percentages.
REASONING ABILITY
- Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
Nice to have skills:
- Strong team player
- Approachable and friendly
- Eager to grow with the company
Years of Experience: 2-3 years of experience in receptionist role and/or related industries
Education : At least HS graduate
Software skills:
- MS Suite (word, excel, power point)
