Responsibilities
•Prepare, review, and submit client invoices using specialized billing software (e.g., Aderant and Prebill Workflow) and various electronic submission platforms (e.g., BillBlast, client-specific systems).
•Maintain up-to-date and accurate client/matter billing and receivables data within the computerized financial system.
•Follow up on rejected invoices, resolve billing discrepancies, and act as the primary contact for internal staff (lawyers, assistants) and external clients regarding billing inquiries.
•Actively participate in enhancing billing processes, developing more efficient workflows, and assisting in the testing and implementation of billing/collection software upgrades.
•Provide technical billing support and training to new finance team members and instruct timekeepers on specific client billing requirements (e.g., LEDES standards).
•Maintain detailed, confidential records of all billing-related communications within the system, adhering to all firm policies.
Qualifications
•College diploma or university degree in Finance or Accounting, combined with a minimum of two years of professional billing experience. Experience within a professional services firm (e.g., accounting, legal, consulting) is strongly preferred.
•Proficiency with financial technology and software, including intermediate to advanced Excel skills. Experience with legal billing software (e.g., Aderant or similar) is required. Familiarity with e-billing platforms (e.g., TyMetrix, Serengeti, Counselink) and LEDES is a significant asset.
•Excellent verbal and written communication, focused listening, and negotiation skills.
