This role requires someone who can bring strong financial accuracy to our invoicing operations while simultaneously acting as an administrative gatekeeper, keeping a dynamic business owner organized, calm, and focused on growth.

Salary Range: $55,000 – $60,000 Base Salary (Commensurate with experience; open to structured performance review bumps)

Responsibilities
Bookkeeping, Billing & AR (70%)
Accurate Billing: Own the business-to-business (B2B) billing lifecycle across multiple distinct service and product lines, ensuring all accounts are invoiced perfectly.
Accounts Receivable & Collections: Proactively manage AR aging profiles tracking high-dollar value milestones (ranging up to $100k–$200k per invoice).
Client Relations & Touchpoints: Conduct regular, professional, and warm collection follow-ups. Most collections do not require aggressive calling but rather consistent email correspondence, tracking, and maintaining "touchpoint" client management.
Financial Administration: Execute basic bank reconciliations and general ledger maintenance.
Executive Administration & Support (30%)
Presidential Support: Act as a proactive gatekeeper and organizer for the President—capturing notes, researching client requests on-the-fly, and translating sudden entrepreneurial ideas into executable tasks.
Presentation Clean-up: Format and design clean, professional PowerPoint presentations and Microsoft Word documentation for stakeholders and developers.
General Office Support: Manage calendars, schedule occasional travel/lunches, and handle quick administrative tasks seamlessly so executive leadership can step away without worrying.
Qualifications
Hard Skills & Technical Proficiency
Advanced MS Excel Skills (Non-Negotiable): Absolute comfort manipulating data. Must know how to build formulas, use AutoSum, calculate complex averages, and maintain massive billing sheets. (Note: Short Excel testing will be required during vetting).
Experience: 3 to 7+ years of stable experience blending corporate/office administration with hands-on bookkeeping. Experience working within family-oriented, entrepreneur-led, or mid-sized service businesses is heavily preferred.
Software Competency: Highly proficient in the Microsoft Office Suite (Word, PowerPoint, Outlook) and standard Accounting/ERP platforms.
Commute Reliability: Access to a reliable personal vehicle. The office location requires a commute that can be challenging via public transit for outside-Toronto regions.
Soft Skills & Fit
Warm & Personable Demeanor: A naturally comforting, empathetic, and communicative personality style. You must exude high emotional intelligence to handle our "touch-and-feel" business approach.
High Autonomy & Ownership: Someone who thrives on being handed a task and running with it reliably, avoiding the need for micromanagement or "double duty" oversight.
Fluency in English: Flawless written and verbal communication is mandatory for frequent client and stakeholder touchpoints.
