This is a key leadership role for someone who thrives on bringing structure to a fast-moving environment. The successful candidate will sit at the intersection of sales, operations, finance, systems and leadership, ensuring that opportunities and projects move efficiently from initial sales activity through contracting, production,
invoicing and closeout.
This person will be expected to understand the department at a high level while also being willing to get into the details. They will build processes, establish measurable KPIs, identify gaps, hold people accountable and ensure that leadership has accurate and timely information to make decisions.
The ideal candidate is someone who sees a messy process and instinctively wants to organize it, measure it and improve it.

Responsibilities
Manage and maintain the Design-Build sales pipeline and ensure information is accurate and current.
Monitor opportunities, proposals, follow-ups, sales stages, and expected close dates.
Develop and track KPIs, dashboards, sales forecasts, and department performance reports.
Coordinate regular pipeline and performance reviews.
Ensure sold projects have completed contracts, deposits, documentation, and internal requirements before handoff.
Support smooth handoffs between Sales, Operations, Accounting, and Administration.
Monitor project setup, billing readiness, deposits, change orders, invoicing, and project closeout.
Maintain visibility into project backlog and upcoming workload.
Identify gaps, delays, risks, and opportunities for process improvement.
Develop, document, and improve procedures and SOPs.
Improve data integrity and adoption of CRM and operational systems, including Aspire.
Create reports and tools that improve visibility, accountability, and decision-making.
Follow up on outstanding items and hold team members accountable for deadlines and required processes.
Communicate and coordinate effectively with internal teams, clients, municipal representatives, and other stakeholders.
Provide leadership with accurate, timely, and actionable information on department performance.
Qualifications
Fully bilingual in French and English, with excellent written and verbal communication skills.
English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis
5+ years of experience in business operations, sales operations, commercial operations, project controls, construction administration, or a related field.
Experience managing complex workflows involving multiple departments or stakeholders.
Strong experience developing KPIs, dashboards, and management reporting.
Advanced Excel and/or Google Sheets skills.
Experience with CRM, ERP, or project-management software.
Strong organizational, analytical, and problem-solving skills with excellent attention to detail.
Ability to manage multiple priorities and proactively follow through on outstanding items.
Strong communication skills and the confidence to hold others accountable professionally.
Experience in landscaping, construction, engineering, architecture, property development, or another project-based industry is an asset.
Experience working with senior leadership is an asset.
