Our client is looking for a Candidate Information Representative to serve as a welcoming first point of contact for certification candidates while supporting critical exam and registration processes. This role is ideal for someone who enjoys helping others, excels at staying organized, and values accuracy and confidentiality. • Compensation of $52,000-54,000 annually for unilingual candidates & $54,000-$56,000 for bilingual candidates
• Benefits package after 3 months, RRSP contribution
• 2 weeks vacation, paid sick days, summer Friday hours and holiday closures
• Monday-Friday 8:30am-5:00pm - Majority of work (4-5 days) will be in the office
• Located in mid-town Toronto, close to transit options
Responsibilities
What YOU will be doing as the Candidate Information Representative:
Reception and Candidate Support
• Greet office visitors and assist candidates in person, via phone, and by email
• Respond to inquiries about certification processes and provide support with the Candidate Portal
• Open and process incoming mail and courier deliveries
• Redirect calls and emails to appropriate departments
Examination and Certification Process Support
• Scan candidate photos and upload data accurately
• Assist with mass email communications, including application and confirmation emails
• File candidate documentation and support records archiving and storage
• Maintain tracking logs and ensure secure handling of exam materials
General Office Administration
• Support other administrative and clerical tasks as needed
• Maintain confidentiality and uphold security protocols at all times
• Lift and organize materials and boxes (up to approx. 35 lbs.) as required
Qualifications
What YOU bring to the table:
Education and Experience:
• Previous administrative or reception experience (2-3 years)
• Post-secondary degree or diploma, preferred
Skills & Attributes
• Bilingual in English and French strongly preferred
• Excellent written and verbal communication skills
• Calm and positive demeanor when dealing with clients from diverse backgrounds
• Strong time management and multitasking abilities
• High attention to detail with accurate data entry and record keeping
• Able to work collaboratively as part of a small, mission-driven team
• Adaptable, resourceful, and able to work under pressure
• Physically able to lift and move boxes as needed
Technical Proficiency
• MS Word, Excel & Outlook (intermediate level)
• Strong keyboarding and data entry skills
• Experience with relational databases (training provided)
• General computer literacy and adaptability to new systems
