Responsibilities
Serve as the first point of contact for clients and visitors, managing front-desk reception and greeting office guests.
Manage the Advisor's professional calendar by scheduling in-person and virtual meetings and sending timely reminders.
Oversee the Advisor's email inbox, flagging urgent items and responding to basic client queries.
Execute administrative tasks including opening new accounts, processing fund deposits/withdrawals, and reviewing daily cash transactions.
Prepare comprehensive portfolio review packages and maintain accurate, up-to-date client records.
Manage insurance tasks such as checking company portals, sending premium reminders, and running basic quotes.
Maintain office order by ordering supplies and preparing client meeting rooms.
Qualifications
1 to 3 years of experience in financial services administration or wealth advisory support.
Previous experience using CRM platforms and specialized financial software.
Experience with Dataphile and Croesus is strongly preferred and considered a significant asset.
Successful completion of a background verification process, including credit and criminal record checks.
Ability to work full-time in a professional office setting in Markham, ON.
Skills
Exceptional attention to detail and organizational capabilities in a fast-paced environment.
Strong verbal and written communication skills to effectively engage with high-net-worth clients.
Professional and client-focused demeanor with a proactive "ownership" mindset.
Proficiency in Microsoft Office Suite, specifically Outlook, Word, and Excel.
Ability to handle confidential financial data and time-sensitive matters with absolute discretion.
