Responsibilities
Sitting at the front you will serve as the primary point of contact for visitors, clients, suppliers, and employees
Answer, screen, and direct incoming telephone calls
Receive, sort, and distribute incoming mail and courier deliveries
Prepare and coordinate outbound courier shipments
Order and maintain office supplies, kitchen supplies, coffee supplies, and other workplace necessities
Maintain office common areas, including kitchen and coffee stations
Empty dishwasher in the morning, run dishwasher in the evening
Help organize office event and meeting catering, as required
Take care of weekly Fruit program ordering, setup
Process Goods Receipts (GRs) and update sales order fields daily in SAPB1 accurately and on a timely basis
Ensure receipts are matched against purchase orders and supporting documentation
Collaborate with various internal departments, and external vendors to resolve discrepancies related to receipts, quantities, pricing, or deliveries
Support month-end activities and reporting related to receiving transactions
Qualifications
Qualifications & Skills
• Fluent in English (written/spoken); professional working proficiency in spoken French.
•English-speaking internal and external [clients/partners/employees] located outside Quebec on a [daily/regular] basis
• Experience in front desk reception
• Diploma or certificate in Business Administration, Accounting, or • • • • Office Administration
• Minimum 2 years of experience in reception, office administration, accounting support, or a related role
• Experience processing Goods Receipts, Purchase Orders, or Accounts •Payable transactions is preferred
• Experience using SAP Business One or another ERP system is preferred
• Strong communication skills and customer-service mindset.
• Highly organized with strong attention to detail.
• Comfortable working independently and managing multiple priorities.
• Proficient with Microsoft Office (Excel, Word, Outlook).
•High level of professionalism, discretion, and reliability
